Meeting Minutes
July
14, 2005

major points that were discussed.
Agenda Items
- Agenda items for staff meetings
can be written on the whiteboard in the staff lounge. Tutors can include
agenda items but first need to talk to admin staff about the item(s)
to be included.
Birthdays
- On their birthdays, staff members
can bring in food to share if they so choose. They can also bring something
for another staff member on that staff member’s birthday. Johnna will
create an all staff birthday list and put it on the server.
Tutor Updates
- At the beginning of fall semester,
tutors will be given an Access form (containing address, phone, etc.)
and a list of their tutor specialties, and will be asked to update both.
Refrigerator
- Write your name and the date
on any food that you leave in the refrigerator. A black marker will
be put near the refrigerator and an information sign will be put on both
refrigerators. Each Friday Alison will check the refrigerators for food
and then toss what is bad or unmarked.
Study Room Markers and Erasers
- Markers and erasers will be left
in study rooms and no longer checked out. Each Friday Alison will clean
the whiteboards and check the markers to make sure they are in good working
condition.
Coffee
- Rick will look into Flavia and
Aramark as possible coffee vendors for the LSC. He would like to have
the service in place for fall.
System Distribution List
- Richard will look into arranging
two distribution lists: one called LSC (will include Rick, Richard, Johnna,
Alison, Pam, Dani, and Rodney) and one called LSC all (will also include
tutors).
Staff Meeting Minutes
- Johnna will be responsible for
taking the staff meeting minutes and Pam will cover in Johnna’s absence. Rick
would like the minutes to go out via email within one week of the meeting. Tutors
will also get a copy of the minutes.
Lunches and Breaks
- Work 4 hours or more: 15 minute
paid break can be taken
- Work more than 6 hours: 15 minute
paid break can be taken plus a required 30 minute unpaid lunch
- Work 8 hours or more: Two 15
minute paid breaks can be taken plus a required 30 minute unpaid lunch
- Lunch and breaks cannot be saved
up and used all at one time. Staff may work through their breaks and
lunches but they will not be paid for their lunch time.
- Lunches and breaks do not need
to be scheduled.
Phone Calls
- Personal calls are okay but they
need to be quick. Do not take a personal call when working with a student,
faculty, or staff member (unless it is an emergency). The total time
devoted to personal calls each day should not exceed 30 minutes.
Dress Code
- Dress should be business-casual. This
includes tutors. No midriffs, no doo-rags, no flip flops, no T-shirts
longer than shorts. Rick will put together some dress code guidelines.
Punctuality
- Staff members are expected to
be on time. If you are running late, you need to call. Occasionally
it is okay to be 5-10 minutes late; however, if you are 10 minutes late,
your time will be rounded to 15 minutes. Chronic tardiness will be written
up. Plan to arrive at work 5-10 minutes early. If Alison is running
late, she will call Richard.
Reporting
- Richard and Pam will report to
Rick; Johnna and Alison will report to Richard.
Titles
- Alison’s title will change. She
will remain Administrative Secretary I but will also have the working
title of Lead Desk person.
- Dani’s new title will be Assist
Lead Desk person. She will be taking on more responsibility. Rick will
speak to Dani about working four evenings and Saturdays.
- Rodney’s title is still to be
decided but will be something like Lead Mentor Tutor. He will also be
taking on more responsibility.
Staff Meetings
- Staff meetings will be held weekly
and will be kept to one hour. Possible meeting days/times are Wednesday
afternoons or Friday mornings.
TWC and Language Lab Computers
- We may make Internet access by
students on computers okay if it is related to school activities. We
discussed having priority use for some computers. We will discuss this
in more detail at the next meeting.
