Self-Study Criterion
Team Process Notes
Process Summary of Progress
Criterion One Team
Spring/Summer 2003
Rick Sheets
and Jeanne Franco were selected to co-chair the Criterion
1 Self-Study subcommittee. Both co-chairs participated in round-table
discussions regarding the requirements and timelines over the
next two years for this study. A Self-Study
Plan was developed and approved.
Self-study reports from several colleges and the
last self-study report conducted by PVCC were reviewed. The
new Higher Learning Commission
Self-Study Criteria and documentation was also reviewed.
Members of the Criterion 1 Core Component Specialists
were selected as follows: Joann Caufield, Marilyn Cristiano,
Laurel Smith, and Chrystle Hall. The PVCC Administration designated
Shirley Green as the Administrative Liaison to this subcommittee.
In April, faculty, staff, and students attending
the President's Advance
session were asked to help identify questions and comments
to examine how the criterion statement and core components fit
with the organizational units and program activities at PVCC.
In addition, they helped identify resources, existing documentation,
and strengths and weaknesses.
Rick and Jeanne reviewed the core components of
Criterion 1 and using the feedback from the President's Advance,
created worksheets
which outlined each core component and created questions to
be answered by the subcommittee Core Component Specialists for
each component. A timeline, agendas and assignments were created.
Fall 2003
The Self-Study
Steering Team created a "Laugh-in" routine to
introduce PVCC's approach to its Self-Study to the college community
in a memorable and fun event at the Fall 2003 All-Employee meeting.
The first meeting of the Self-Study Criterion
1 subcommittee was on August 22, 2003. At that time the timeline,
agendas, and assignments were reviewed by all subcommittee
members. Rick and Jeanne introduced the core components, patterns
of evidence, cross-cutting themes and worksheets. Subcommittee
members were asked to complete an in-depth review of all of
the documents presented and to return on August 29th with questions
about the materials or process.
Each Core Component Specialist reported on their
accomplishments and status each meeting over the next 6 weeks.
Rick and Jeanne answered questions and helped direct efforts.
As data was collected, two copies of all documentation were
requested to be submitted, one for the central resource library
for the HLC and the second to remain in notebooks by criterion
component and
subgroup with their analysis of the data stating findings.
The final reports were revised by Jeanne and
Rick with feedback from each component specialist for better
flow and consistency (1A,
1B, 1C,
1D, 1E).
Also strengths and weaknesses were identified. These strengths,
weaknesses, and the documentation to support these findings
were presented at an Open Forum conducted in late October (Presentation
in Powerpoint), Handout,
Feedback Form).
At the Open Forum, feedback from participants
was recorded and was given to the respective component specialists
for final revision of their analyses and findings document.
These revised documents were then submitted to the chairs (Jeanne
& Rick) to begin to develop an outline of the final report.
Spring/Summer 2004
In January, a formal draft of the outline was
requested as due by mid-February. Also requested was a document
of how the feedback from the open forums was incorporated into
the process of the self study report. A document was created
and presented at the President's Advance 2004, highlighting
the feedback received and how the Criterion
One Team responded or acted on each suggestion. In some
cases additional examples of evidence were added, others identified
points of confusion which were corrected, and many were beyond
the scope of this team and so it was recommended that the information
be passed on.
By the end of February, a draft of one
chapter of the report (MS Word doc) was due to the steering
team chair and was submitted. Rick S. and Jeanne met with the
steering chair, Rick V. to discuss needed changes in the draft
document. Revisions were made and completed by the end of March.
Jeanne also drafted the second section, criterion component
1C by the end of March.
By the end of the Spring semester, the draft
of the whole chapter (MS Word doc) was completed and submitted.
Over the summer, the draft was revised by Rick Vaughn and PVCC's
administrative team. Revisions included changing words for consistency
in style and flow, making changes in examples and language which
were identified as too specific, and moving sections from other
criterion chapters into ours or moving peices to other criterion
chapters for better flow of the whole Self-Study document.
Fall 2004
At every stage of final revisions, the steering
team chairs were involved in the decisions and Criterion One
committee members were also asked to review and approve all
changes made to the revisions to Chapter
3(Criterion One).
The Criterion One committee members were asked
to read the whole self-study document
posted on the web to expand their knowledge and understanding
beyond the work they did to now include a fuller understanding
of the whole self-study document.
Spring 2005
On January 10, 2005, the Criterion One team was
asked to present in another Open Forum designed for "Sharing
what we've learned." January 10, 2005. (presentation
in MS Powerpoint)
