MEMO Filters

 

 

Filters are rules you define to screen messages out of your Inbox and file them into a folder or send them to the Trash.  You could filter out all messages regarding a particular subject or from a particular sender. For example, you could define a filter that would automatically move any messages you receive with "Job Ops" in the subject directly to the trash or to a folder you create (in case you want to read them at a time that is convenient).  This is a good method for keeping a large volume of MEMO messages that are being sent regarding the latest "hot topic" from cluttering up your Inbox.

 

You may want to try the steps below to create a filter using the bolded suggested entries.  You can then test your filter by sending yourself a message with "Job Ops" in the subject to see if your filter works. Steps have also been included for deleting the filter when it is no longer needed.

 

Steps to Create A Filter:

 

1.      Start Netscape and click the Inbox icon to access your email.

2.      From the Edit menu, select Message Filters.  The Message Filters window will display.



3.      At the "Filters for" field make sure Inbox-pvmail.maricopa.edu is selected.

4.      Click the New button to display the Filter Rules window.



5.      At Filter name:  enter a name for the filter. (Try Job Ops)

6.      The filter criteria should be entered in the next 3 field boxes.  In the left box next to "the", click the down arrow to select the part of the message on which to filter (subject, sender, etc.).  (Try Subject)

7.      In the center box next to "of the message", click the down arrow to select the filter condition (is, contains, begins with, etc.).  (Try contains)

8.      In the right box, enter the keyword(s).  (Try Job Ops)

9.      Next to “then” select the action to be performed if the filter conditions are met.   (Try Move to folder)

10.    To send the filtered messages to the trash, click the down arrow in the next field box and select Trash.
OR To create a folder to filter the messages to, click the New Folder button, give the folder a name (Try Job Ops), and click OK to close the New Folder window.

11.    Click OK (Windows) Create (Mac).  The Filter Rules window will close and the filter you just defined will be listed in the Message Filters window.

12.    Click OK to close the Message Filters window.

 

Now try your filter out by sending a message to yourself with the subject:  Job Ops.  The message should automatically go to the Trash or the Job Ops folder as you specified in step 10.

 

Steps to Delete a Filter:

 

1.      From the Edit menu, select Message Filters.

2.      Select the filter rule to be deleted.

3.      (Windows) Click the Delete button; then click OK to close the Message Filters window.
Or
(Mac) Remove the check in the Enabled checkbox, then click the close box at the upper left corner of the window to close the Message Filters window.
